Dashboard – Performance Indicator

Performance Indicator

The Dashboard Performance Indicator incorporates the overall performance against the targets set in Planning > Performance relating to  % of Hazards, % of Incidents and % of Issues Corrective Actions completed, % of Completed Inspections against the schedule inspections, % of Incidents investigated, % of Audit Scores and meeting attendance.

Upon clicking the Performance a Bar Chart will display which can be downloaded if required.

Note: Period and Sites can be selected from the Dropdown Fields.

Employee Onboarding – User Access Status

Implemented a process to provide better feedback upon registration of a new worker and their access in Sherm.

The listing  table now provides the Status of employees. These are explained as follows:

  • When a new employee is added, their login status is set to Email Sent as they will receive the Welcome Email to Sherm and their login credentials. Additional emails are sent at this time
    1. Onboarding Training Requirements – as per Training Journey
    2. Licence and Certificates – these are mapped from Manage Positions.
  • Upon receiving the Welcome Email and they have logged in, the user is required to reset their password and set up a Security Question from the invite mail, the status updates to Onboarded.
  • User will then have to log back in after changing their password, so upon successful login, the status becomes Active.
  • When employee leaves the organisation, their status will be Inactive.

The Help Feature has been updated to reflect this change. Consider update of internal documents.

Email Notification

If workers are added or imported to Sherm with out an email, upon email being added, the system will send the Onboarding email and Reset Password to the employee, even if the User Role notification is disabled.

Chemical Register

Include a text field to enable website address to be recorded. This has been found to be beneficial for suppliers who provide a link to their Safety Data Sheets via link.

Workplace Inspections

We will be removing the Category Master as it’s function is not warranted and can create confusion when multiple categories are populated. The Inspection Type – Master will include by default All Sites and we are looking at additional linkages to potentially remove the requirement for the Inspection Master.

Form Building for Type of Inspection

To ensure you get the most our of Workplace Inspections, ensure the Form Builder template is active.

Mobile App

If workers are complaining about having to sign-in to Sherm via their Mobile App, have a toolbox talk reminding them they can set up Touch ID / FaceID. All that is required is:

  • Log into Mobile App
  • Click on the Hamburger that will open up the side Menu bar
  • Click on My Account > then Touch ID / Face ID.

For Face ID the settings on the device will need to be enabled, alternatively just use Finger Print.

Fixes Completed

  • Upon completion of CAT, Attendance status has been fixed. New status are Abscent being not attended and Present, having completed.
  • Manage Employee – check box for Next of Kin has same address? is holding.
  • Mange Employee Filter status was not holding post introduction of new status for Email Sent, Onboarded.
  • Training Journey workflow fixed not to flick back to My Training but to the  Commence Training Journey page.
  • Fixed the display for female profiles in the Admin Panel as they were displaying as male. The Organisational Chart was not affected.

Pipeline Improvements

  • Public Forms: these will be available for Incident Reporting, Hazard Reporting and Issue Reporting that can be accessed by both internal and external persons of the business. QR Code generation will be available and the QR Codes can be printed as stickers of signed, and/or published on your company website or Intranet.
  • Training Journey: Will make the existing Training Journey location so this is a Master File then moving forward all Training Journey’s will be scheduled through the usual Schedule Training. This will ensure that workers can access their Training via the Mobile App.
  • Workplace Inspection Module: We will be removing the Category Master as it’s function is not warranted and can create confusion when multiple categories are populated. The Inspection Type – Master will include by default All Sites and we are looking at additional linkages to potentially remove the requirement for the Inspection Master.
  • Assign Notification Rights: request to include Health Information will be accessible in next build to production. We will also include “Department” wise for these notifications.

Improvements

Custom API for Sherm

Sherm Software now has a Custom APIs for fetching Employee, Plant and Contractor and details. As part of the API the team have created additional security configuration especially for external API and validation through generation of JWT token. The interface for the Developer Portal generates an access key and secret key.

API Documentation for entire external/open API process, which is displayed in the Developers Portal of Sherm, which is only available to the Sherm Admin.

A monthly charge of $10 / month will apply. To gain access to our API, please send request to [email protected] and advise if you would like to pay monthly or annually.

Marnie will raise invoice and open the Developers Portal upon receipt of payment.

Training Journey

A Training Journey is now available for use. Option available to select if the Training Journey is default for New Employee or not.

The Training Journey is based upon the Position so various Training Journeys can be set up based upon Manage Position of the new worker, or existing worker.

Once the Training Journey is scheduled, the user will access their Training Journy from My Training > My Training Journey.

Document Register – Bulk Update

Now it is possible to do bulk UPDATE DETAILS within the Document Register and applies ONLY to those documents that are Due to Review.

Process

  • Go to Document Register
  • Open Filter and sort the documents by Status “Due For Review”, then utilise other filters, example Doc Type “Safe Work Procedure”, then click Search. You may consider opening table to 20 files rather that the default 10.
  • Next select the documents by clicking the checkbox next to the file
  • Click on the Update Details Button (Top Right near Upload Document)
  • The select the Owner, Approver, and the Date for Next Review, then click Save as shown below.
  • When you next update through the Document Register, a comment is maintained in Description “No content changes were made – metadata update only

Action

  • In Document Templates, a new section has been added into the Documentation and Document Control Management Procedure to support the update of this procedure.

Inspection Management

  • Now you can Add Risk Assessment upon completion of a Workplace Inspection in the Web App only. Work is underway to make this feature available also in the Mobile App along with Add Corrective Action within the form.
  • The Add Risk Assessment button is located at the bottom right of the screen near Add Corrective Action, Save and Save & Submit buttons. (see below)
  • The completed Risk Assessment will display in the PDF Inspection report

Action

  • In Document Templates, a new section has been added into the Workplace Inspection Management Procedure to support the update of this procedure

Instructional Information

Plant Register – Decommission Equipment

To remove a Plant Item from the Plant Register, simply click the Delete button. If the Item has been involved in an incident and has been linked via the Incident Report, a log is maintained in the Plant Register > Records. In such instances, the plant item cannot be deleted, it will be Decommissioned.

Therefore, in the Risk Assessment tab, select the Decommission button and add date and comment. These items can always be referred to through changing the Filter and selecting Decommissioned.

Incident Management

The Primary Admin can ensure incidents of a private nature are kept “Private”. We have updated the screen with a Help Icon tool tip.

Action

Please update your Incident Reporting and Investigation Management Procedure to include the following under section 4.1 Reporting: “In the event an incident is of a private nature, the Primary Admin can mark the Incident as “Private” These incidents are only accessible to: the Reported By and Reported To persons, users assigned corrective actions, the Investigator and the investigation team members”.

Fixes Completed

  • User Notification Bell – prevent reactivation post reading of messages
  • Double up emails being sent from Planning Module upon Releasing the Plan.

New Features

We are considering the following new developments and would be interested in your feedback.

  • LLM Chatbot in Documentation Module to ask questions and provide responses based upon your documentation.
  • CAT Verification along with LLM creation of interactive CATs.

Note the use of LLM will be database specific with high-level security controls! I don’t trust AI!!
