July 2018

Good morning and here is to a Great Week Ahead!
Enjoy the Update and please communicate relevant information to your teams😊

Incident Management

  1. Some incidents reported by a person, especially when it comes to an event that includes a visitor / patron on your site, it has been identified that the field for “Is this part of your job description” on the Incident Details page does not necessarily apply. The option to select “N/A” is now available for use.
  2. Workers with View Rights who are reporting an incident can add injury register through the Mobile App. This function is already accessible through Web App.
  3. The email notification when Assigning Investigator has been updated so that is now comes from the Assigner.

Things to remember with Incident Management and the Investigation: When the Investigator has been assigned, then should consider who should be part of the Investigation Team. Person selected in the Investigation Team can add Case Notes alongside the investigator. All person in the investigation team will be notified via email of the Case Note added and by whom. This is an extremely effective way of collaborating and keeping track of where things are at.

Mobile App:

Version 4.7.7 released Friday for iOS and Android was last Monday. Fixes are as explained in point 1 and 2 above.

Manage Employee

Due to recent changes with legislation to do with Gender, I have included “Unspecified” should it be required.

Workplace Inspections

The inspection notification email is updated and now and includes a link to the inspection module so it will open to this page and provide a listing.

Use the Filter at top right hand corner to make ease of use to define the inspection you are after.

For example: if a person has multiple inspections scheduled and multiple that have already been completed, then use the Status Filter: and selected “Scheduled”. OR type in the WPINS number… easy!

Training Needs Analysis

The Training Needs Analysis links to Manage Positions. This is where you determine the training requirements for the positions in the business. It also links to the Training Register. So what has been done is that we have created a Filter for “Position”. Activate the Filter for the Position/s that require review, click search an only that position will display in the table. Use Export to extract that data only.

Email Notifications

Email notifications have been updated to include a message “Do not reply…” to emails from [email protected]

Please communicate to your staff not to reply to emails from [email protected] especially when they are thinking they are communicating to someone within your business. I’ve had some wacky responses and I think it’s best kept within the business 😊

Scheduling Meetings

Meeting Name is now included in subject of notification mail sent to user and will also display in your Calendar.

It is also possible that there may still be some sync issue between Sherm and Outlook. This has been reported through a site in WA so if anyone else if having these issues with the Calendar time in Outlook when the meeting is being saved, please let me know so we can understand the extent of the issue.

Reports > Licence and Certificates

As workers can be managed for both the Company and Contractors who work for you company, there are 2 Reports in Sherm.

Initially Reports > Employee > Licence & Certificate Expiration Report was pulling data for both company and contactor employees.

Now it will only pull from Company workers.

To obtain the same report for contractor workers, go Reports Contractor/ Supplier > Employee L & C Expiry Report.

Report > Employee > Skills Matrix

We have included a filter for company and contractor employees within the Skills Matrix Report that is located in Reports > Employee > Skill Matrix.

This report can be used to quickly identify who has what licences and certificates for both Company Workers and Contractor Workers.

Injury Management

Print Rehab Plan is now exporting to PDF and we have included a Drag and Drop feature included within the Attachment section.

Contractor / Supplier Certifications

Notifications are sent 1 week prior to expiry to the registered email and will also go to person who is to be notified as listed in Site Master.

If you have not set this up as yet, then I strongly recommend that you do.

Next Fix incudes:

Training Register

  • In the Next Due Date column the text will display in red if training is overdue to assist to identify overdue training. Remember also that you can use Reports > Training Needs Analysis

Meetings

  • Enabling multiple attachments when Meeting Minutes are added and the ability to delete

CAT

  • Cleaning up the multiple lines that are displaying on participants second attempt, just a bit of housekeeping!

Issues Management

  • The assigned investigator (should this be required pending on the issue) tab is not displaying

Planning

  • My task comments box we are increasing the size of the text box

Reports > Competency

  • Including a Site and Department filter and additionally a Next Due column as we only display Competed Date

Report > Monthly Data Analysis Report

  • Pie charts to be updated to reflect only the period selected within the report and not the previous 12 months.

Well that’s all for today!

Have an absolutely fabulous week and should you have any queries in relation to the above improvements, or would like to discuss others, please don’t hesitate to get in touch.

Kindest Regards

Caroline Kingston
